Job Description
MAIN PURPOSE OF JOBUnder the general direction of the Assistant GM; the Manager, Academy Operations will help facilitate all day-to-day administration in the Soccer Operations Department and will be responsible for the overall direction, planning, and execution of the Portland Timbers Academy operations and administration along with assisting with the Portland Timbers MLS Next Pro operations. This position may involve regular domestic travel, occasional international travel, and the ability to maintain a schedule in line with a sports team, including weekends and nights.
This individual will manage all aspects of the Portland Timbers Academy equipment needs under the supervision of the Director of Equipment Operations and the Equipment Coordinator.

ESSENTIAL DUTIES AND RESPONSIBILITES include the following.

Generic DutiesManage all business and day-to-day administration of Soccer Operations for the Timbers Academy ProgramAssist with the management and administration of the Soccer Operations department along the Sr. Director of Soccer Operations and the Manager, Development Operations.
Help facilitate Academy player/staff communications Support Academy players off the fieldManage the Portland Timbers Academy calendar including training schedules, travel and home games.
Collaborate with coaching staff and players with all gear and equipment needsHelp oversee budgets for the Portland Timbers Academy programOversee New player/trialist accommodation in and out of market.
Manage schedules of all Timbers Academy staff and players daily Be available for any special projects and special requests from the Assistant GM and Director of Equipment OperationsManage Equipment inventory and oversee the distribution of all Academy equipment, apparel and supplies for players, coaches and staff.
Help communicate player movement to MLS Next Pro team based on the decisions made by the Head Coaches Ensure all players and staff are compliant with Timber HR requirements (SafeSport Training)Collaborate and work cooperatively with MLS Next league staff, and US Soccer.
Register new players with US soccer and MLS Next.
Maintain healthy working relationships with all club coaches and staffCoordinate Timbers Stand Together events and make sure all Academy staff participate in the eventsEstablish and build strong professional relationships with a wide array of individuals within the industrySPECIFIC DUTIESAssist with day-to-day administration of the Portland Timbers Academy program including:Be liaison to Portland Timbers Academy program and MLS Next matchesManage Roster administration and registrationsAssisting with away team requests when in home marketBeing available for all Timbers Academy matchesManage logistics with league and exhibition matchesEnsuring no schedule conflicts occur at training facilityMaintaining professional relationship with international federations and MLS NextEmail communication to players and parents Assist with Visa application process for staff and International players if neededEnsure all communications are thorough and timely to Timbers Academy players and staff Manage Teamworks onboarding and day-to-day maintenance of platformWork with the MLS Next Pro and Soccer operations staff to ensure streamlined operations and collaborative communications between all groupsAssist in preparation and execution of preseason, home games and in-season travel of the Academy teams logistics and scheduling including but not limited to:Flights Hotels Ground transportation Training sessions/field acquisition Team Meal coordination (during travel) Manage relationships with airports, hotels, etc.
Assist with collection of all players documents required by club & league Preseason, exhibitions, and team trainings schedule Parent consent letters for international travelBe of service to all team operations departments while in travel with the team: EQ, medical, coaching, administrative.
Organizing reports for all team related expenses each trip and preseasonWork and assist with the commercial and operations departments on game operations requirements for the Academy home fixturesWork with the Assistant GM on the submission and tracking of the Academy budget including all team and staff expensesManage MLS Next away team requests when in home market including: Training locations/times, and Game day administrationAssist with day-to-day administration for Soccer Ops department including:Ensuring no schedule conflicts occur at training facility with MLS and MLS Next Pro teamsScheduling with league on match location & timesMaintaining professional relationship with US Soccer and MLS NextPlayer Support duties including:Assisting players in and out of marketEnsuring all players obtain medical insuranceAssist with player registration including MLS Next, USSF, ITC, & amateur reinstatementEnsuring all overage players have completed SafeSport trainingCoach and Player Equipment Assistance Be available before, during, and after training, to aid players and coaches in equipment needsCollaborate with Equipment Staff to provide daily laundry service for staff and coaches Assist the Equipment Coordinator with any equipment needs for MLS Next Pro teamEquipment Management Order, inventory, oversee the distribution, and collect all Academy equipment, apparel and supplies for players, coaches and staff Manage all team equipment packing for away matchesAssist with the coordination of the transportation of all match essentials to every away match for the Academy teams.
Provide laundry service to players and coaches during travel when needed.
Practice and GamesBe at all Academy games and practices to service players and coaches as neededCoordinate with visiting team staff for any equipment requests while in marketMaintain daily interaction with the Equipment coordinator at trainings and home gamesCUSTOMER FOCUSOversee all outward facing programs and communication of the Timbers Academy program Interact with members of the public and soccer community in a positive and respectful way as to protect and enhance the brandAttend as necessary, events when needed to promote Timbers programs or act as a Club ambassadorThoroughly communicate with all parents/guardians regarding team plans, schedule, performance, etc.
