OverviewThe Booking Manager supports the Programming team in the scheduling, planning, contracting, and execution of live events across TD Coliseum, FirstOntario Concert Hall, and The Studio. This position will remain open until August 14, 2026. ResponsibilitiesSupport the scheduling, planning, confirmation, and execution of live events across assigned venues. Manage event administration from inquiry through settlement, including contracts, confirmation sheets, calendars, and booking systems. Coordinate with promoters, agents, rental clients, and internal departments to develop estimates, rental quotes, and event details. Maintain accurate event calendars, avails, show files, and internal systems. Provide on-site event support as required. Serve as a key point of contact for promoters, agents, rental clients, community groups, and internal stakeholders. Respond to internal and external inquiries in a timely and professional manner. Support onboarding for new clients while maintaining strong relationships with returning partners. Assist in identifying new rental and special event opportunities for the venues. Support outreach efforts through research, availability management, and preparation of client materials. Represent the organization professionally in all interactions with industry partners and clients. Prepare and maintain contracts, show files, reports, and event documentation with accuracy and attention to detail. Coordinate internal communication of event information across departments. Assist with event estimates, projections, pre-settlement preparation, and financial reporting. Build and maintain departmental reports, presentations, and meeting materials as needed. Conduct research on artists, promoters, touring activity, and market opportunities. Support internal workflow management and identify opportunities to improve administrative efficiency. Qualifications3–5 years of experience in live events, venue booking, event coordination, or a related field. Strong organizational, administrative, and project management skills with exceptional attention to detail. Ability to manage multiple priorities in a fast-paced, deadline-driven environment. Excellent written and verbal communication skills. Strong interpersonal skills with the ability to build and maintain professional relationships. Ability to work independently while contributing positively within a collaborative team environment. High level of professionalism, discretion, and accountability. Proficiency in Microsoft Office Suite, particularly Excel, Word, Outlook, and PowerPoint. Experience with booking or event management systems such as Momentus, ROME, VenueOps, or Salesforce is considered an asset. Knowledge of the live music, touring, and/or entertainment industry is considered an asset. Post-secondary education in Business, Music Management, Communications, Event Management, or a related field is considered an asset.
